Excel timesheet to time tracking: move your hours to Tally

A spreadsheet timesheet works while one person logs hours for a few clients. It stops working once hours are re-typed into invoices and rates sit in another tab. Lyto Tally imports the sheet as a CSV file. Five columns are required: client, project, member email, date and duration. After the import, you log new hours in Tally, and approved hours go to Sum as a draft invoice in one click.

Most small teams start tracking time in a spreadsheet. It is free, everyone can open it, and the columns are yours to choose. This guide covers when that sheet starts costing you billable hours, and how to move it into Lyto Tally with a CSV import.

When does a spreadsheet timesheet stop working?

Look at what happens at the end of the month. A spreadsheet is fine as long as none of these apply:

  • You re-type hours into an invoice. Every copy is a chance to drop a row or round an hour down.
  • Rates live somewhere else. A rate in another tab, or in your head, gets missed when it changes.
  • Non-billable hours go unrecorded. Admin, sales and travel never make it into the sheet, so you can’t see where the week went.
  • More than one person logs hours. Each person keeps a copy, and someone merges them by hand.
  • Nobody signs off a week. There is no record of who checked the hours before they were billed.

If none of these happen, keep the spreadsheet. Switch when they start.

What does a time tracker add?

Tally is the time-tracking app in Lyto. You log hours against a client, a project and a task, and mark each entry billable or non-billable. An admin approves each week. If you work alone, you approve your own.

Each project carries its rate, and a new rate can start on a set date. Tally handles hourly, fixed-fee and retainer projects. One click sends approved hours to Sum, Lyto’s invoicing app, as a draft invoice.

If your invoices live in a spreadsheet too, the guide to moving an invoice spreadsheet into Sum covers your customers and unpaid invoices.

Step 1: get the sheet into shape

The importer reads one row per time entry. Rename or add columns until your sheet has these:

ColumnRequiredWhat goes in it
Client nameYesThe client, spelled the same on every row
Project nameYesThe project under that client
Member emailYesThe email of a member of your Lyto workspace
Entry dateYesYYYY-MM-DD, DD/MM/YYYY or MM/DD/YYYY
DurationYesDecimal hours (1.5), minutes (90) or HH:MM:SS, at most 24 hours
Task nameNoThe task, if you track tasks
DescriptionNoWhat you did
BillableNoyes or no; an empty cell imports as non-billable

Invite your teammates to Lyto first. A row whose email is not a member of the workspace is rejected. Then save the sheet as a comma-separated CSV file. Excel set to a European region often saves CSV with semicolons, and Tally reads commas only. Google Sheets always downloads CSV with commas. One file holds at most 10 MB and 50,000 rows, so split a larger history by year.

The template below has the eight columns in this order, with two example rows. Replace the example email with your own before you import it.

Step 2: run the import

Open Settings, then Import, in Tally. You need the admin, bookkeeper or owner role. The wizard has six steps:

  1. Source. Pick Generic CSV, or Toggl Track, Clockify or Harvest if the file came from one of those.
  2. Upload. Upload the file. For a generic CSV, map each column to a Tally field and pick the date and duration format.
  3. Clients. Match each client name to an existing Tally client, or create it.
  4. Projects. Use an existing project, create a new one, or skip it. Rows under a skipped project are left out.
  5. Rates. Apply one hourly rate to every entry, use the dated rates you set under Settings, then Rates, or import everything as non-billable.
  6. Commit. Tally saves the entries. Rows that fail are listed in an error file you can download. Fix those rows in your sheet and import them again.

Step 3: switch over

Imported weeks arrive approved. If you already invoiced those hours, choose non-billable in step 5, so they stay off your next invoice. From the first new week, log hours in Tally and keep the spreadsheet as an archive.

What Tally does not do

The import reads your file once. Tally does not stay in sync with the spreadsheet afterwards. Tally is also not a payroll or shift-planning tool. A team that schedules shifts needs a separate tool for that.

What it costs

Tally is in every Lyto plan, with the other six apps. On Seed, for one to five people, a seat costs €10 per month, billed annually, or €13 billed monthly. Larger teams and the other plan are on the pricing page. The trial runs 14 days and needs no card, so you can import a month of your own hours before you decide.

Frequently asked

Can I import an Excel timesheet into Tally?

Yes, as a CSV file. Save the sheet as comma-separated CSV and open Settings, then Import, in Tally. Pick Generic CSV and map your columns to Tally's fields. You then match clients and projects, choose how rates apply and commit. Rows that fail are listed in an error file. Fix those rows in your sheet and import them again.

Can I bring my hours from Toggl Track, Clockify or Harvest?

Yes. Tally reads three exports as they come: the Detailed Report from Toggl Track, the detailed CSV from Clockify and the time-entry export from Harvest. Pick the source in the import wizard and upload the file. You still match clients and projects and choose a rate option before anything is saved.

What happens to hours I already invoiced?

Import them as non-billable. The wizard has an option that marks every imported entry non-billable, whatever the sheet says. Imported weeks arrive approved, so this keeps old hours off your next invoice while the history stays in Tally.

Does Tally cost extra?

No. Tally is in every Lyto plan, together with the other six apps. On Seed, for one to five people, a seat costs €10 per month, billed annually, or €13 billed monthly. The 14-day trial needs no card, so you can run the import on your own sheet before you pay.
